Lesson 8 of 23 · Grow
CRM
A CRM (customer relationship manager) is the address book and sales record of your business. Everyone you might sell to, or already have, is a customer here. Each one moves through six stages: New lead, Contacted, Qualified, Proposal, then Won or Lost. The CRM has its own menu: Home, Leads, Deals and Contacts, then Activities, Reports and Automations, plus shortcuts to Find leads and Ask Winston.
What this tab is for
- Add customers one at a time, or import them from a spreadsheet
- See your pipeline, forecast, win rate and tasks due on the CRM home page
- Edit any detail straight in the Leads table, and add your own columns
- Change many customers at once: stage, priority, owner and tags
- Export your customers to a spreadsheet
- Drag deals between stages and see the value of each column
- Record why a deal was lost, so Reports can show you patterns
- Log notes, calls, emails and meetings on a customer
- Have Winston draft a follow-up email, or advise on what to do next
- Link payments from Finance to the customer who paid
- See every contact, by person or grouped by company
- Work through overdue, today's and upcoming tasks
- See pipeline by stage, forecast by close date, leads by source and lost reasons
- Turn on ready-made automations, or build your own
Option 1 of 10
The CRM home page
- 1
Open CRM
Pick CRM in the Grow group. You land on My Dashboard.
- 2
Read the numbers
The tiles show your Open pipeline (the value of deals not yet won or lost), the Forecast, your Win rate and how many Tasks are due. Use Period and Year to change the dates.
- 3
Look at the charts
Deals won over time shows your progress. Deal Sources shows where customers came from, such as Automated Pipelines, chat or an import.
- 4
See money received
Customers have paid shows payments from the Finance tab that you've linked to customers.
Option 2 of 10
Adding customers
- 1
Press Add customer
A form opens: Add a customer or lead.
- 2
Fill in what you know
Name is all you need. Add the company, email, phone, job title, deal value, stage, whether they're hot, warm or cold, and tags such as VIP or referral.
- 3
Save
Press Add customer. They appear in Leads under their stage.
- 4
Or just tell Winston
In Winston AI, say something like "Add Sarah Jones from Bright Dental, she wants a quote" and he'll put her in the CRM.
Option 3 of 10
Importing a spreadsheet
Already keep customers in Excel or Google Sheets? Bring them all in at once.
- 1
Save your sheet as CSV
In Excel or Google Sheets, choose Download or Save as, then CSV. The first row must name the columns, such as Name, Email, Company.
- 2
Press Import
It's on the CRM home page and the Contacts page. Choose the CSV file.
- 3
Check the result
Winston tells you how many new customers he added, and how many existing ones he filled in. Nobody is duplicated.
Option 4 of 10
Working in the Leads table
Leads shows every customer as a row, grouped by stage. It works like a spreadsheet.
- 1
Change a detail
Click any cell, such as Stage, Owner, Priority, Deal value or Expected close, and change it. It saves as you go.
- 2
Search and filter
Use Search customers, and the owner and priority filters, to narrow the list.
- 3
Choose your columns
Press Show columns to hide ones you don't use.
- 4
Add your own column
Press Add a column to track anything else, such as plan, renewal date or how they heard of you. Give it a name and, for a list of options, the choices separated by commas (for example Basic, Pro, Enterprise).
- 5
Change many at once
Tick several rows. Then use Move to stage, Set priority, Assign to, or Add tag on all of them together. Press Clear selection when done.
- 6
Add a task
Use + Add a task on a row to remind yourself to follow up.
Stage changes made here and in Automated Pipelines stay in step, so a lead never has two different stages.
Option 5 of 10
Using the deals board
- 1
Open Deals
From the CRM menu. Each column is a stage, with the total value of its deals at the top.
- 2
Drag a card
When a conversation moves forward, drag the customer's card to the next column. Drop it where it says Drop a deal here.
- 3
Say why a deal was lost
When you drag a card to Lost, Winston asks why. A short answer, like "went with a cheaper quote", is enough.
- 4
Find a deal
Use Search deals, or filter by owner to see only your own.
Option 6 of 10
The customer record
- 1
Open a customer
Click their name anywhere in the CRM.
- 2
Log what happened
Under the activity log, choose Note, Call, Email or Meeting, write what was said, and press Log it. The newest entry is at the top.
- 3
Update the details
Change the deal value, hot, warm or cold, expected close date and tags, then press Save details. Your own columns are there too and save as you go.
- 4
Draft a follow-up
Press Draft follow-up. Winston AI opens with a short, warm email ready to send, with a subject line.
- 5
Ask what to do next
Press Ask Winston. He looks at your history with this customer and tells you how to win or grow them, and what to watch out for.
- 6
Link a payment
Under payments, press Link payment and pick money in from Finance that came from this customer. The record shows how much they've paid so far.
If a customer came from Automated Pipelines, the record shows where Winston found them and their LinkedIn profile, with a link back to Pipelines.
Option 7 of 10
Contacts
- 1
Open Contacts
Everyone in your CRM, by person or by company.
- 2
Search
Use Search contacts to find anyone by name, company or email.
- 3
Import or export
Import a spreadsheet here too, or export your contacts.
Option 8 of 10
Activities and tasks
- 1
Open Activities
Your tasks are at the top, sorted into Overdue, Today, Upcoming and No date.
- 2
Add a task
Give it a due date, the customer it's about, and who it's for.
- 3
See everyone's tasks
Use Whose tasks to switch between yours and the whole team's.
- 4
Tick it off
Mark tasks done as you go. When the list is empty you'll see "Nothing to do. Nicely done."
- 5
Read the recent activity
Below, calls, notes and changes show as they happen. Tasks created by Winston AI or by an automation say so.
Option 9 of 10
Reports
- 1
Pipeline by stage
How many deals, and how much money, sit in each stage.
- 2
Forecast by expected close
What's likely to close and when, from each deal's expected close date.
- 3
Leads by source
Which channels bring in customers.
- 4
Team
How each owner is doing.
- 5
Why deals were lost
The reasons you gave when moving deals to Lost. Look for patterns.
Option 10 of 10
Automations
An automation is a sentence: when something happens, Winston does the next step. They run on customers from anywhere: added by hand, imported, from Pipelines or from chat.
- 1
Start from a recipe
Pick one, such as Call new leads within a day, Chase proposals after 3 days, Qualified leads are hot, Ask won customers for a review, Tag won deals as customers, or Send a welcome email. Press Turn it on.
- 2
Or build your own
Under Build your own, choose the trigger (a customer is added, or a deal moves to a stage), where from, and the action: add a task due in so many days, add a tag, mark them hot, warm or cold, or assign them to someone.
- 3
See what's running
Your automations are listed at the top. Delete any you no longer want.
Your exercise
Before you finish, open the tab and try:
- Add one real customer by hand with a deal value.
- Add a column called "How they found us" with a few choices.
- Tick two customers and move them both to Contacted.
- Drag a deal one stage forward.
- Open a customer and log a call.
- Press Draft follow-up and read Winston's email.
- Turn on Chase proposals after 3 days.
- Open Reports and find your biggest source of leads.
